Record a received payment and verify the balance
Document a real payment without confusing the record with a bank charge.
Pending workflow validation
This guide has been checked against the application code. Its workflow still needs validation in an isolated test account.
What you will achieve
Keep the payment and receipt on the correct invoice.
Before you start
- Billing edit permission, an active client, and the correct existing invoice.
- Evidence of payment already received with verified amount, currency, method, and reference.
Steps
1. Check whether it is already recorded
Open the invoice in Billing. Match client, currency, and number; compare payment history and receipts with the external reference before adding a record.
2. Enter the payment actually received
Enter a positive amount no greater than the current balance, method, and reference. Card and bank transfer label the received method: they do not charge a card or execute a transfer.
3. Record and check the receipt
Use the invoice action to record payment or generate a receipt. Check confirmation and open the resulting receipt. Do not submit again when the outcome is uncertain.
4. Verify the remaining balance
Check history, receipt, balance, and payment status. A partial payment leaves a balance; due date and document status are separate data. For a mismatch, keep the reference and request review before recording another payment.
Expected result
A documented payment and updated balance when saving is confirmed. This process does not move money, charge cards, or reconcile a bank.
Questions about this process
The amount exceeds the balance or the invoice is void
Stop and review the invoice and original payment; do not reduce or alter amounts merely to clear the blocker.
I do not know whether it saved
Inspect payment history and receipts before retrying. Report the exact error and reference without exposing full banking details.
