Prepare and review an invoice
Select the client, review line items, and resolve validation before creating.
Pending workflow validation
This guide has been checked against the application code. Its workflow still needs validation in an isolated test account.
What you will achieve
Create an invoice with checked recipient, dates, and totals without recording a payment by mistake.
Before you start
- Billing → Create permission and an active client.
- Confirmed items, currency, dates, and billing terms; check whether the service or cycle already has an invoice.
Steps
1. Choose the correct client
Open Billing and invoice creation. Select the client in the first step; check the name before moving to line items.
2. Review line items
Add or review each line with title, description, quantity, price, and cycle. For ready-to-invoice services, check the service association. Products with different due dates, currencies, or billing entities may remain for a separate invoice.
3. Verify dates and totals
Complete required dates and check currency, discounts, taxes, deposit, and balance. Match the scope to the agreement and avoid charging again for a period recorded in Legacy.
4. Resolve the review
Read the final review and resolve blockers. Some confirmations persistently change an open cycle’s billing source to DiMarAg and, for the service, billing responsibility to “agency bills customer” and source to DiMarAg. These are not merely invoice display changes. Confirm only when that change in billing responsibility and source is intended and authorized. If a separate invoice is recommended, review the remaining items.
5. Create and check the document
Use the creation action and open the result. Check number, status, client, and balance. Sending, recording payment, and linking receipts are later actions; do not mark paid to bypass validation.
Expected result
A reviewed invoice in the status shown on the document. Creation alone does not establish sending, payment, or service activation.
Questions about this process
The due date is missing
Return to invoice details, complete the required date, and review again before creating.
A charge or paid invoice already exists
Open the existing record and check period and balance. Paid invoices have editing restrictions; do not duplicate a charge to resolve them.
