Upload client files and check access

Organize internal documents and verify each upload result.

Pending workflow validation

This guide has been checked against the application code. Its workflow still needs validation in an isolated test account.

What you will achieve

Save and locate agency-private files under the correct client.

Before you start

  • An active client for changes and Clients view permission.
  • Media create for uploads and folders, edit for renaming or moving, view for opening or downloading.

Steps

  1. 1. Check destination and files

Open Files in the correct client profile. Prepare files between 1 byte and 50 MB each. Review names and contents before selecting.

  2. 2. Choose folder and description

Select files, the appropriate folder, and a useful description. When creating a folder, check its name to avoid duplicates.

  3. 3. Upload and check every result

Start the upload and confirm each expected file appears. A batch may partly succeed: after an error, inspect existing files before repeating it.

  4. 4. Find files and check access

Search or filter, open the preview, or download the document to check it. Review the access label: these uploads are agency-private. Share is disabled as a future feature. The signed preview URL lasts 20 minutes (1,200 seconds): forwarding it can expose the private file to its recipient while valid, even without granting portal access. Do not use it as a sharing workaround.

Expected result

Files recorded and findable by the agency. Uploading does not deliver them to the client or change visibility; previously shared documents may remain visible.

Questions about this process

Upload fails

Check size, empty files, permissions, and client status. Verify created records before retrying the batch.

I need to share it

Sharing is not implemented here. A temporary signed URL can open the private file for its recipient during its 20-minute validity; do not forward it as a delivery workaround or include it in screenshots.
