Operator and communications · 3 min read
Prepare a message with Operator
Check recipient, context, and channel before copying, sending, or recording.
Pending workflow validation
This guide has been checked against the application code. Its workflow still needs validation in an isolated test account.
What you will achieve
Choose the correct action and verify its result without confusing copying with sending.
Before you start
- Access to the client or lead and authorization to contact the recipient.
- For email sending: an active departmental account and security verification required by the app.
Steps
1. Open the correct context
Open Operator from the profile or related document. Confirm the client or lead and check any linked quote, invoice, or appointment; a template must fit that context.
2. Check recipient and channel
Select the channel and verify the full address of every selected recipient, not just their name. After changing channels, select and check recipients again. Confirm everyone should receive the information; an earlier selection is not sufficient.
3. Prepare the content
Choose a template matching the context and review subject, body, amounts, dates, links, and signature. Check the chosen language and the warning when it differs from the client’s language; confirm the appropriate language before continuing.
4. Choose the action deliberately
Copy message only puts text on the clipboard. Send email starts a real attempt; if MFA is requested, successful verification automatically starts the sending attempt. MFA success is not proof of delivery: inspect the result. For other channels, Record sent message documents a communication already made; it does not send it from DiMarAg.
5. Verify the result
Read the confirmation or error and check communication history. If the result is uncertain, check history before resending to avoid duplicates.
Expected result
Copied text, a confirmed send, or a communication record according to the selected action. These are distinct outcomes.
Questions about this process
No active account serves the department
Ask the integration administrator to check the corresponding account. Copying text does not fix or confirm sending.
Verification or sending fails
Read the message, check the result in history, and resolve the cause before retrying. Do not share security codes in messages or screenshots.
