Record a completed call
Document time, participants, and notes in the correct dossier.
Pending workflow validation
This guide has been checked against the application code. Its workflow still needs validation in an isolated test account.
What you will achieve
Keep a searchable record for follow-up.
Before you start
- Access to calls for the correct client or lead.
- Actual start time, participants, channel, and notes; confirm the device time zone.
- For client changes, the relationship must be active.
Steps
1. Identify the dossier
Open the call workspace from the correct client or lead and choose record call. Do not place the conversation under another company just because a contact has the same name.
2. Enter the actual time
Fill in the start and, when known, the end. The form interprets these times using the device time zone. The end must not precede the start.
3. Describe the conversation
List participants, select the channel used, and write internal notes. Separate confirmed decisions from pending items; do not include passwords or full payment details.
4. Save and review
Save the record. Open the dossier the app takes you to and confirm time, channel, participants, and notes. After a save error, check for the record before trying again.
5. Prepare follow-up
Review tasks and agreements to document in the dossier. Publishing an agreement version and sharing it are separate steps. An internal note is not client acceptance.
Expected result
A historical call recorded under the correct client or lead. Opening the call workspace does not place a call or record audio.
Questions about this process
The time is invalid
Check start, end, and the device time zone. Correct the indicated value before saving.
Participants or permission are missing
Complete the participants. For a permission message, request an access review; do not change clients to try to save it.
